OUR MISSION
To host a sit down Thanksgiving Meal; To honor, bless, encourage, warmly entertain and build relationship with a multitude of God’s favorite people.
Our desire is to unify church and community resources and mobilize the gracious people of the Clayton area to provide for, prepare, serve, and generously host this event.

MEETING MODERATOR
Bob McLean, New Bethel Church, served as the Moderator of the Meeting. He opened the meeting with an invocation used in opening all
meetings held by the "Serve the Need in Johnston County, Inc". The invocation is as follows:

BACKGROUND AND PURPOSE OF MEETING
Dr. Norwood Williams, President of the Serve the Need in Johnston County, Inc., and Project Chair of the three "Need to Feed" Community
Projects (CAM Initiative, Food Bin Initiative, Thanksgiving Event Initiative). Dr. Williams introduced Michael Grannis , Town Councilman who, on
behalf of the Mayor, welcomed the group and expressed strong support for the Thanksgiving Project. Norwood then introduced the
Thanksgiving Event Planning Committee Members and acknowledged the participation and representation of the community in this initiative --
churches, civic organizations, city government, businesses, and veterans organizations.
He next acknowledged and commended the five churches and their Representatives who were the forerunners of the three Need to Feed
Projects; namely, Dale Matthews (CAM), Bob McLean (New Bethel), Jason Johnston (W. Clayton Church of God), Linda Whitley (New
Trinity Church) and Cathy Penny (St. Ann). This group comprised the "Need to Feed, Clayton Community Committee and has met on seven
occasions since January 2010. The CAM and Food Bin initiatives have been successfully established. Thus, the latest initiative of the Need to
Feed Committee is the Thanksgiving Event. The presentations which follow provide the ways and means for planning and conducting this
initiative -- the purpose being to provide food and fellowship by way of a thanksgiving sit-down meal for those Clayton citizens in need of both.

THANKSGIVING EVENT
Bob McLean made a slide presentation of all discussion topics on the Agenda. First presented were the Mission and Core Values set forth by
the Need to Feed Clayton Community Committee for conducting the event. The following summarizes his presentation:
Mission
Our Mission is... To host a sit down Thanksgiving Meal;
To honor, bless, encourage, warmly entertain; and
To build relationship with a multitude of God’s favorite people.
Our desire is... To unify church and community resources, and
To mobilize the gracious people of the Clayton area
to provide for, prepare, serve, and generously host this event.
Core Values
Core Values are those values that are decided upon beforehand so that
when we get busy, we will not have to think about how we will react.
The Principle of Honor
Accurately acknowledging who people are will give them what they deserve,
and allow them to receive the gift of who they are in our lives.
The Principle of Compassion
An Awareness…A feeling of deep sympathy for another who is experiencing misfortune,
accompanied by a strong desire to alleviate the suffering.
The Principle of Love
Unconditional…Using our resources to meet the needs of others.
The Principle of Respect
Respect is a choice…A decision we make to have esteem for, or a sense of the worth of a person.

MENU MATTERS AND INVITATION PROCESS
Kristin Williams, with the assistance of the slide presentation, reviewed the Menu Matters and food items to be served at the Event and the
churches/organizations, businesses who have thus far volunteered to provide and prepare their selection of food.
INVITATION PROCESS AND PROCEDURE
Kristin next reviewed the Invitation Process and Procedure as provided in Hand-Out Exhibit 4 (English Invitation Letter), Exhibit 5 (Spanish
Invitation Letter), and Exhibit 6 (Invitation Process and Procedure). These three Exhibits are included as an Attachment to this document.
Emphasis in the discussion was placed on the following tasks of the Sponsors:
• A representative should be named to coordinate the invitation process with Kristin.
• Invitations should be sent out on October 1.
• List of invitees (name, address, telephone number) should be sent to Kristin on October 1 and updated as needed.
Kristin will be responsible for coordinating and compiling the list of invitees received from each Sponsor and for recording the RSVPs as they
come in. This List will be provided to each Sponsor as RSVPs come in and updated as needed.

Kristin, again with the assistance of Bob's Power Point Program, reviewed the List of Subcommittees as included in Exhibit 7 (Thanksgiving
Planning Subcommittees). The Subcommittees are as follows:

The need to recruit members to serve on these Committees is the responsibility of all of us. Help is needed for each Chair to successfully complete
their responsibilities. Names of Subcommittee volunteers are to be sent to Kristin for coordination. Subcommittee Chairs will be responsible for
holding any Subcommittee Meetings as they deem necessary. A Progress Meeting of all Subcommittee Chairs will be held with the Project Chair (Dr.
Williams), Co-Chair (Royal Williams), and Coordinator (Chris Ludke) sometime in October.
OPEN DISCUSSION
Royal Williams, Vice-President of the Serve the Need in Johnston County, Inc., and Project Co-Chair of the three "Need to Feed" Community
Projects (CAM Initiative, Food Bin Initiative, Thanksgiving Event Initiative) was introduced by Dr. Williams. Royal led the discussion which was open to
all those in attendance at the meeting. A summary of these discussions follows:
• A recommendation was made to revisit the time for serving the Thanksgiving meal. The current time listed in hand-out materials is 12 noon to
5:00. In view of invitees work schedules, recommendations under consideration are to hold the event from 1:00pm to 6:00pm or from 2:00pm to 7:
00pm. Subsequent to the meeting, there were some brief discussions among members of the STN in JC's Executive Board in which concerns were
expressed for those who will be volunteering at the event. In deciding the time for the event, consideration needs to be given concerning the family
needs and obligations of our volunteers in carrying out their own preparations for Thanksgiving Day. A decision on this will be forthcoming soon.
• A recommendation was made and appeared to be largely supported by the group to physically "serve" the Thanksgiving meal to those in
attendance rather than having them walk through a food line (a line they are all too familiar with). It was generally felt that this procedure would not
require much, if any, additional time and that the act of "serving" would be more meaningful to our recipients and more fulfilling for our volunteers.
• A recommendation was made to have a room or designated space (tent, for example) where our guests could gather for fellowship following
their meal. Volunteers from our groups could be available for conversation in response to any of their expressed concerns or needs. This
recommendation, while dependent upon the availability of space, will be explored.
• A recommendation was made to include a prayerful component to the Thanksgiving event initiative. This could be accomplished by having a
room or designated space available (tent, for example) where our guests could gather for prayer prior to or following the meal.
Subsequent to the meeting, I (Kristin) had the opportunity to hold a discussion with PASTOR BORRIS WIGGINS, New Bethel Church. He proposed including a prayerful
component to the event by adding a SUBCOMMITTEE in planning for the event; for example "PRAYER MINISTRY SUBCOMMITTEE". Pastor Wiggins volunteered to Chair this
Subcommittee with an open invitation for members to join the Subcommittee. He further suggested holding an open "Prayer Ministry Meeting" monthly, between now through
November (4 times), where we, the planners, could gather to pray for the success and fulfillment of the event in keeping with the Mission and Core Values set forth for the
event. Pastor Wiggins volunteered to host the first Prayer Ministry Meeting at New Bethel Church, and is inviting the other Church Pastors to host one of the three remaining
meetings. Pastor Wiggins requested that the formation of this Subcommittee be discussed for approval by the Executive Board of the STN in JC, Inc. I assured him that this
recommendation would be discussed by the Board and that a response would be forthcoming to him just as soon as possible.
WRAP-UP
Dr. Williams, in his closing comments, pledged that the Thanksgiving Project starting in the West in Clayton would reach across to Smithfield and
Selma, and ending in the East in Benson. He introduced Lloyd Barnes who is on the Executive Board of the STN in JC and holds the position of
Region 2 Coordinator (Central Johnston County). Discussions and plans are already underway to replicate and hold a Thanksgiving Event in his
Region at Smithfield. He followed up by introducing Walter Martin who also is on the Executive Board of the STN in JC and holds the position of
Region 1 Coordinator (Eastern Johnston County). The same discussions and plans are underway to hold a Thanksgiving Event in the Four Oaks area
and Benson areas.
Dr. Williams concluded by thanking all those present and all those who planned and played a part in the Agenda. Thanks and compliments were
heartedly and plentifully given to Bob McLean for all the time and effort he put into preparing the entire Program in Power Point for slide presentations.
He closed with the words spoken by Rip Van Winkle: "We never say goodbye but say...So long and live a prosperous and happy life until we meet
