Our desire is to unify church and community resources and mobilize the gracious people of the Clayton area to provide for, prepare, serve, and generously host this event. OUR CORE VALUES We have adopted the following core values. To guide our staff, committee members, sponsors, and volunteers in their attitudes and actions in the planning and execution of this event. MENU COORDINATION: Determine if food will be prepared or unprepared upon delivery - Schedule delivery time - Follow-up as needed on

FOOD PREPARERS & COOKS: Prepare for cooking and cook unprepared food - Provide cooking containers, supplies, and utensils.
MEAL SERVERS: Serve meals at event for one hour as arranged and scheduled by the Subcommittee Co-Chairs.
SET-UP & CLEAN-UP: Set-up and arrange seating and tables for the event - Clean-up facility upon conclusion of event.
TRANSPORTATION: Provide means for invitees with no means of transportation to attend the event - Deliver meals to the non-ambulatory in
retirement centers.
PUBLICITY: Arrange for the advanced announcement of the event in local newspapers and other news media.
REGISTRATION: Register all attendees and maintain record of event participants.
PRAYER: Provide a means for the members of the Thanksgiving Event Planning Committee and Clayton community to come and unite
together for an open Prayer Gathering to be held monthly between August and November 2010. The Prayer Gatherings will provide an
opportunity for the Planners and the Community to join together in prayer for the success of the up and comping Thanksgiving Event. As we
are praying together our desire is to create an atmosphere where everyone that is involved and for everyone that will be attending this event to
experience God's "Goodness, Presence, and Love".

INVITATION -- SPANISH
1. An Invitation Letter will be prepared and provided by Kristin Williams to each Sponsor
(Churches and Organizations) who will be responsible for making sufficient copies for distribution to their
invitees.
The Church Sponsors are as follows: Amelia Christian, Mt. Vernon, St. Ann Church, New Bethel, West
Clayton, Horne Memorial, Hocutt Baptist, First Baptist, Clayton Area Ministries, and Feed His Sheep.
The Organization Sponsors are as follows: Veterans and Civic Clubs (Civitan, Rotary, The Woman's
Club of Clayton, and any others).
2. Each Sponsor should designate a representative to coordinate the invitation process with
Kristin.
3. Sponsors will distribute the Invitations on October 1, 2010. Each Sponsor will record the names,
addresses, and phone numbers of those families receiving invitations and provide a copy of the
list to Kristin. Updates to the List should be submitted as they occur. Kristin will use this List as a check and
balance when RSVP's are received.
4. RSVP Deadline is November 1, 2010 and invitees are directed to RSVP to either Kristin or Chris Ludke
who will coordinate the RSVPs.
5. Kristin will maintain a central record (RSVP List) of RSVP's by Sponsor and will match the RSVP to
the Invitation List. Kristin will provide the RSVP updated List weekly (or as needed) each Sponsor.
6. Invitees were directed to keep their Invitation Letter which will serve as their Entrance Ticket.
Invitees are directed to present the Entrance Ticket (Invitation Letter) to the Registrars on November 24th.

and names of attendees.
